Scotch Hall – Rental Policies and Procedures

We look forward to welcoming you. When you make your booking, you are entering into an agreement with us. Please read our terms and conditions below.

Terms and Conditions:

Arrival and Departure: Check in time is from 3:00 pm to 7:00 pm on the day of arrival. We will hold your reservation until 7:00 pm unless otherwise notified. Check-in times outside of this specified time must be confirmed with us prior to arrival. We ask that you please vacate your room by 11.00 am on the morning of departure.

Reservations: Please note the cancellation policy before committing to a reservation. In order for us to confirm a reservation, credit/debit card details are required to secure your booking. Your transaction takes place immediately when booking online. Other billing arrangements may be made by phone when booking.

Minimum Stay: A two-night minimum stay may be required during select weekends or holidays.

Deposits for rooms at Inn at Scotch Hall: A 50% deposit is required at time of confirmation. The remaining 50% is due 14 days prior.

Deposits for Rental Property: A 50% deposit is required to confirm your reservation.  If your booking is more than 3 months in advance your deposit will be due within 30 days of confirming your reservation. Final Payment: Final balance is due 14 days prior to arrival.

Cancellation for rooms at Inn at Scotch Hall: A full refund is offered for Cancellations made 30 days before arrival. A credit may be issued for reservations cancelled 8-29 days prior to arrival. No refund or credit is available for Cancellations within 7 days of arrival.

Cancellations for Rental Property: A full refund is offered for cancellations made more than 30 days before arrival. Forfeiture of deposit for reservations cancelled 15- 30 days prior to arrival unless the unit is re-rented.  No refund or credit is available for cancellations within 14 days of arrival.

Guests failing to arrive, without notification, may be responsible to a charge equivalent to the total reservation price. We take all bookings in good faith. As we are unable to judge reasons for change, cancellation or non-arrival, guests are reminded that no exceptions to the above conditions will be made and that any booking made with us for (verbal or written) forms a legally binding contract.

Cancellation by Us: Should it become necessary for us to cancel a booking we will contact you immediately. Any payments made will be refunded in full. Should you wish to, we will attempt to book you into another local accommodations.  Should this establishment be more expensive than us, we will pay the difference for the first night of your stay. Our liability will not extend beyond these conditions. Change of Room If a booking is taken out for a specific room and the room reserved is rendered unusable via circumstances beyond our control, we reserve the right to transfer the booking to an alternative room.

Keys: You have access to the building and your room 24 hours a day throughout your stay using a specified key for your room(s) and the exterior entrances which is given to you when you register on arrival.

Entrance Gate: A six- digit code will be supplied to guests upon arrival for access to the property. Security guards are on duty from 7:30 am to 5:30 pm daily. After-hours access to the property is available to guests using the access code(s).

Car Parking: Parking is available for guests’ use in close proximity to the rooms. Cars parked here are at owner’s risk.

Damage and Breakages: Please take care of our property. You are responsible and liable for any damages which you cause to the accommodation, common areas or its contents. Please report any incidents as soon as they occur especially if you accidentally spill something – it’s much easier to clean if we know what it is and act quickly. We do not normally charge for breakages, but we reserve the right to charge for repair or making good if the damage is significant.

Liability: We do not accept any liability for any damage, loss or injury to any member of your party or any vehicles or possessions, unless proven to be caused by a negligent act by ourselves or our employees.

Missing Items: We reserve the right to charge for missing items.

Payment: We accept the following credit and debit cards; Visa, MasterCard, American Express and Discover as well as personal and business checks and cash.

Rates: Ask about discounts for extended stays. Rates are subject to change without notice.

Taxes: All rooms subject to 6.75 State Sales Tax and County Tax.

Pets are not permitted within any of our rental properties.

Prices: We reserve the right to change our prices at any time. This does not affect bookings already made.  Smoking: We are strictly a Non-Smoking facility. Smoking is NOT permitted within any part of the Inn or the rental property. There will be a $500 cleaning fee applied for smoking indoors. Burning candles, incense or any other devices is also prohibited indoors. Smoking is permitted outdoors and on the porches.

Termination Policy: We reserve the right, to terminate, without notice, an individual’s stay where deemed necessary through unacceptable behavior or as a result of actions which are likely to endanger or offend others (Please note that noncompliance of our non-smoking policy may constitute termination.) In such circumstances any outstanding account must be settled; no refunds will be made.

Handicap Provision: The Inn does not have modifications to accommodate handicapped individuals.

Wi-Fi:  We provide access to the internet in all of our rental properties.

General: We reserve the right to amend these terms and conditions at any time. This agreement is governed by the laws of the United States, North Carolina and the county of Bertie.
